Property Administrator

San Diego, CA

A fully integrated commercial real estate investment company focused on industrial properties is seeking an experienced Property Administrator to support its growing San Diego property management team.

Reporting to the Senior Property Manager, this individual will work closely with Property Managers and Engineering staff to support day-to-day property operations, tenant and vendor relationships, accounting processes, and acquisition and disposition activity. This is an excellent opportunity to join a growing platform that anticipates significant portfolio expansion over the next several years.

Responsibilities:

Property Administration & Tenant Support

  • Provide day-to-day administrative support to the property management team and assist with ongoing property operations
  • Communicate professionally with tenants, prospective tenants, vendors, contractors, and internal team members
  • Maintain tenant information and property data within Yardi and other internal systems
  • Prepare vendor contracts for review and coordinate the signature process through DocuSign
  • Assist with work orders and property inspections through Yardi Facility Manager
  • Coordinate tenant move-in and move-out procedures
  • Prepare and distribute property-related correspondence, notices, and communications
  • Organize tenant appreciation events and gifts
  • Assist with special projects and other property management initiatives as needed

Accounts Payable & Receivable

  • Code and manage property invoices through Yardi Payscan
  • Manage utility accounts and coordinate with utility providers and vendors to ensure accurate billing
  • Assist with purchase orders and billing processes
  • Prepare monthly invoicing related to tenant bill-backs
  • Manage and track service contracts and purchase orders across the portfolio

Insurance & Compliance

  • Maintain and track certificates of insurance for tenants and vendors
  • Monitor expiration dates and follow up as necessary to maintain compliance

Acquisitions & Dispositions

  • Support property acquisitions and dispositions by preparing post-closing notices and communications
  • Review, organize, and maintain due diligence materials
  • Coordinate property site visits with tenants and contractors
  • Assist with estoppel preparation and tracking
  • Conduct business license research and assist with applications

Requirements:

  • Bachelor’s degree in Real Estate, Accounting, Economics, or a related field
  • 2–4 years of experience within the commercial real estate industry
  • Experience with industrial and/or office properties required
  • Experience with property management and/or accounting software; Yardi Voyager and Payscan experience strongly preferred
  • Proficiency in Excel and Microsoft Office applications
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced, collaborative, and results-oriented environment
