Assistant Property Manager

A private real estate investment firm focused on the acquisition, development, and management of retail, office, and infill mixed-use properties in select West Coast markets is seeking an Assistant Property Manager to join their growing team and support their San Diego portfolio. Under the mentorship of the Property Management team, this individual will assist with the day-to-day administration and implementation of policies, procedures, and programs that ensure well-managed and well-maintained properties.

Responsibilities:

  • Responsible for lease administration duties.
  • Monitor collections and follow up with tenants.
  • Ensure compliance with Property Management policies and procedures, codes, regulations, and governmental agency directives.
  • May require completing property inspections or meeting with tenants and/or vendors onsite.
  • Assist in preparing annual operating budgets and annual expense reconciliations.
  • Collect bids and proposals for property projects and prepare vendor contracts in accordance with company or client requirements.
  • Build a cooperative relationship with the accounting team to ensure accurate information and timely reporting.
  • Assist the Property Manager with maintenance and construction activities associated with commercial tenants.
  • Responsible for the prompt and positive response to requests from tenants, constantly assess tenant needs, and ensure problems are solved promptly to the mutual benefit of the tenant and property, including preparing, dispatching, and tracking tenant work orders.
  • May be engaged in the selection of contract services, vendor negotiations for service agreements, and day-to-day monitoring of vendor performance to ensure full compliance with standards established within service agreements, including Certificates of Insurance.
  • Handle accounting processes which include completing property management and accounting forms as required, coding invoices, reviewing accounts receivable reports, and assisting in rent collection.
  • Participate in the administration of all tenant leases to ensure full compliance with lease provisions, including maintaining Certificates of Insurance.
  • Answer telephones, screen calls, transfer callers to voicemail, or take messages to facilitate communication and contacts.
  • Participate in meetings and training activities as designated by Property Managers or senior management.
  • Perform other duties and special projects as requested by management.

Requirements

  • 2–5 years of experience in Property Management; commercial experience preferred.
  • Ability to manage general administration of the property in the absence of Property Managers.
  • Strong written and verbal communication skills with the ability to produce professional-quality materials.
  • Proficiency in Outlook, Word, and Excel; ability to learn new software programs as needed (Yardi experience a plus).
  • Self-starter with excellent organizational and problem-solving abilities.
  • Ability to work in a fast-paced, team-oriented environment with multiple deadlines and shifting priorities.
  • Demonstrated ability to deliver exceptional customer service to tenants and clients.
  • Friendly, approachable demeanor when handling competing priorities.
  • Proven ability to develop effective working relationships with co-workers, vendors, contractors, and tenants.
