A privately held, vertically integrated commercial real estate company is seeking a Portfolio Property Manager to lead property management operations across a diverse portfolio of company-owned and third-party managed assets throughout San Diego. The portfolio includes office, retail, office condominium, and industrial properties.
This individual will oversee a team of property and assistant property managers and building engineering staff while serving as the senior point of contact for ownership, third-party clients, tenants, and association boards. The role will have significant responsibility for portfolio-wide financial management, operational performance, team leadership, and client relationships, while also supporting the continued growth of the company’s third-party management platform.
Responsibilities:
Team Leadership & Portfolio Oversight
- Lead, develop, and manage a team of property managers, assistant property managers, and building engineering staff
- Establish and maintain consistent operating standards across the portfolio
- Provide mentorship, accountability, and ongoing development to property management team members
- Serve as the senior point of contact for ownership, third-party management clients, association boards, and tenants
Financial Management
- Lead the annual budgeting process across the portfolio, including operating budgets, capital plans, forecasts, and reforecasts
- Oversee CAM/NNN reconciliations, escalation billings, operating expense recoveries, and year-end true-ups
- Ensure recoveries and billings are accurate, timely, and compliant with lease terms
- Deliver monthly and quarterly ownership reporting, including variance analysis, accruals, AR management, and financial narratives
- Partner closely with Accounting and Ownership to monitor portfolio performance and identify opportunities to improve operating results
Property Operations & Tenant Relations
- Oversee day-to-day property operations, preventive maintenance, life safety, emergency response, and tenant relations
- Establish standards for vendor selection, contracting, performance, and cost control
- Maintain strong relationships with tenants and proactively address operational issues
- Oversee commercial HOA and office condominium association operations, including governance, reserves, and board relationships
Lease Administration & Capital Projects
- Maintain a strong understanding of commercial lease language and ensure lease terms are properly reflected in billings, recoveries, and escalations
- Partner with Leasing, Construction, and Asset Management on tenant improvements, capital projects, and lease administration
- Coordinate projects from lease execution through construction and occupancy
- Support property-level initiatives designed to enhance asset performance and tenant experience
Client Relations & Business Development
- Serve as a trusted advisor and senior relationship manager for third-party property management clients
- Participate in client and association board meetings and communicate portfolio performance effectively
- Support the growth of the third-party management platform through pitches, RFP responses, management proposals, and fee pricing
- Assist in developing new client relationships and expanding the company’s managed portfolio
Requirements:
- 10+ years of commercial property management experience, including office and/or retail assets
- 3+ years of direct experience supervising and developing property management professionals
- Strong financial acumen with demonstrated expertise in budgeting, forecasting, CAM/NNN reconciliations, operating expense analysis, and owner reporting
- Thorough understanding of commercial leases and expense recovery structures
- Proven ability to lead teams, establish standards, and hold team members accountable
- Strong client-facing presence with experience communicating with ownership, institutional clients, boards, and tenants
- Experience with Yardi, MRI, or comparable commercial property management/accounting software; Yardi experience preferred
- Advanced Excel skills
- California real estate salesperson or broker license, or ability to obtain within six months of hire
- Commercial HOA or office condominium association experience preferred
- Experience managing both company-owned and third-party managed assets preferred
- Business development and/or RFP experience preferred
- Construction and tenant improvement project management experience a plus
- Highly organized, proactive, detail-oriented, and comfortable operating in a fast-paced, entrepreneurial environment
- Ability to regularly travel to properties throughout San Diego
